Managing dozens or even hundreds of cold outreach domains? Icemail makes it fast and scalable with our bulk domain connection feature. You can upload multiple domains at once using a CSV file and let Icemail handle the rest — including automated SPF, DKIM, and DMARC setup.
This guide walks you through each step.
Step 1: Log into Your Icemail Dashboard
Navigate to the “Domains” tab on the left-hand menu.
Click on the “Connect Domains” button at the top right.
Step 2: Bulk Upload Domains
Click “Bulk Upload Domains” to begin.
Download the Sample CSV file provided to see the required format.
Fill in your domain list following the sample structure (e.g., just the domain names in a single column).
Upload the completed CSV file to proceed.
Once uploaded, Icemail will start importing and listing the domains automatically.
Step 3: Update Nameservers at Your Registrar
After your domains are added to Icemail, you’ll need to replace the NS (Nameserver) records with the ones provided in your dashboard.
This step enables automatic configuration of your domain's SPF, DKIM, and DMARC records for optimal email deliverability.
Name Server Update Guides:
DNS propagation can take up to 24–48 hours.
Step 4: Recheck All Domains
After updating the NS records in your domain registrar:
Go back to Icemail.
Click the “Recheck All” button in the Domains section.
Icemail will verify the updates and confirm domain connection status.
Important Note for Cloudflare Users
If your domain was purchased directly through Cloudflare, domain masking is not possible because Cloudflare doesn’t support external nameserver changes.
To connect the domain to Icemail:
Transfer your domain to a registrar that allows NS updates (e.g., GoDaddy, Namecheap).
Then update the name servers and reconnect in Icemail.
Common Errors & How to Fix Them
1. Workspace Already Exists
This means the domain is active under another Icemail workspace.
Remove or delete the associated mailboxes before reconnecting.
2. NS Records Not Updated
Double-check that you've updated the NS records correctly.
Use whatsmydns.net to confirm global propagation.
3. Domain Already Connected
This domain is already connected to your (or another) Icemail account.
Check your domain list or contact support to resolve duplicates.
Next Step: Add Mailboxes
Once your domains are successfully connected, you can proceed to:
Navigate to the Mailboxes tab
Click “Add Mailboxes” > Buy New Mailboxes based on your outreach needs
