At Icemail.ai, we’re committed to delivering an exceptional experience in mailbox provisioning and cold email automation. However, we understand that plans can change. Below, you’ll find important information about our No Refund and Cancellation policies.
All payments made to Icemail.ai are final. This includes:
Monthly or annual subscription charges
Mailbox setup or add-on service fees
Prepaid credits or wallet top-ups
We do not offer refunds, either full or partial, once a transaction is completed. We strongly encourage users to review their selections and plan terms before completing a purchase.
Note: This policy applies whether or not the service was used or accessed after payment.
Once a mailbox has been provisioned and used — meaning it has been accessed, configured, connected to a sending tool, or had any emails sent from it — it is no longer eligible for a refund.
What counts as "used":
Logging into the mailbox
Connecting the mailbox to a third-party platform (Instantly, Smartlead, Lemlist, etc.)
Sending any emails (warmup or cold outreach) from the mailbox
Configuring custom settings, signatures, or SMTP credentials
Genuine case exceptions: Refund requests may be considered on a case-by-case basis at Icemail’s sole discretion for situations such as:
Duplicate charges due to billing system errors
Mailboxes that were never provisioned after payment
Charges made in error that can be verified by our team
To request a review of a genuine billing error, contact [email protected] with your account details and a description of the issue.
Refund requests based on poor mailbox deliverability or email performance will not be accepted.
Here’s why: Once a mailbox is configured and handed over to you, its deliverability is entirely within your control. Factors that affect deliverability — such as email content, sending volume, warmup practices, list quality, and recipient engagement — are all determined by how you use the mailbox.
Icemail is not responsible for deliverability outcomes resulting from:
Sending cold emails before completing the warmup period
Exceeding recommended sending limits (15 emails/day cold + 15 emails/day warmup for Google & Microsoft)
Using purchased or low-quality email lists
Sending spam-like or non-compliant email content
Assigning more than 2–3 mailboxes per domain (which can increase domain-level risk)
Ignoring bounce rates or spam complaint signals
We provide all the technical infrastructure — properly configured SPF, DKIM, DMARC, US IP addresses, and Google/Microsoft-licensed accounts — to give your mailboxes the best possible starting point. How you use them from there determines the results.
Best Practice: Always complete a full warmup period and follow Cold Email Best Practices before launching campaigns at scale.
If you decide to discontinue your service with Icemail:
You can cancel your subscription at any time from your Billing Dashboard.
Cancellation will stop all future billing but will not refund any amount already paid.
Your service access will continue until the end of your current billing cycle.
For example: If you cancel on June 10th and your plan renews on June 30th, you’ll retain access until June 30th with no further charges after that date.
