✅ Getting Started with Your Icemail Account

Welcome to Icemail! This guide walks you through the complete setup process — from signing up to sending your first cold email.

Step 1: Sign Up

• Visit icemail.ai and click Get Started

• Use the [Mailbox Calculator](https://icemail.ai/cold-email-mailbox-calculator) to estimate how many mailboxes and domains you need based on your monthly outreach volume

• Choose a plan that matches your needs and complete checkout

• Access your dashboard via the link sent to your email

Step 2: Complete Workspace Onboarding

• Name your workspace (e.g. "Outreach Team" or "Sales Mailboxes")

• Tell us how you found Icemail

• Select your role: Founder, Agency Owner, Marketer, Sales Lead, etc.

• Click "Continue Setup" to proceed

Step 3: Set Up Domains

You have two options for adding domains:

Option A – Buy New Domains

• Click Buy Domains → Next

• Browse available domains across TLDs (.com, .net, .org, .info, and more)

• Select your preferred domains and add them to cart

• Complete payment via Wallet or Stripe

Best practices:

• 2–3 mailboxes per domain is recommended for healthy sending

• .com domains are preferred for maximum deliverability

• Purchased domains appear in your dashboard automatically

Option B – Connect Existing Domains

• Click Connect Domains → Next

• Enter your domain name and click Connect Domain

• Copy the Icemail nameservers shown in your dashboard

• Update nameservers at your registrar (Namecheap, GoDaddy, Google Domains, etc.)

• DNS propagation can take up to 24 hours

• Click Recheck after propagation to verify status

Common issues:

• Workspace Already Exists: remove existing mailboxes from the domain or contact support

• NS Records Not Updated: wait 24–48 hours and verify using a DNS checker tool

• Domain Already Connected: contact support at [email protected]

Step 4: Create Mailboxes

Once your domains are active:

• Click Create New Mailbox

• Enter first name, last name, and username

• Select the domain to assign the mailbox to

• Click Add New to configure additional mailboxes in bulk

• Click Assign Mailboxes to confirm

The system automatically configures SPF, DKIM, DMARC, and MX records for every mailbox.

Step 5: Export Mailboxes to Outreach Tools

• Select the mailboxes you want to export

• Click Export Mailboxes

• Choose your platform: ReachInbox, Instantly, Smartlead, and more

• Authenticate with the platform

• Mailboxes export automatically — no manual configuration needed
