Connecting your domain to Icemail enables:
Seamless email outreach using your branded or previously purchased domain
One-click mailbox creation and warmup automation
Automatic configuration of all essential DNS records (SPF, DKIM, DMARC, MX)
Centralized management of all domain and mailbox activity within the Icemail dashboard
Log into your Icemail dashboard and go to the âDomainsâ section.
This will launch the process to link an external domain you already own.
Input your existing domain name (e.g., yourcompanydomain.com
) and click âConnect Domain.â
Youâll now need to replace your domainâs current NS (Name Server) records with the ones provided by Icemail.
Important: Updating NS records allows Icemail to automatically set up and manage your DNS records (SPF, DKIM, DMARC, and MX) for optimal email deliverability.

Note: DNS propagation typically takes 24â48 hours. Your domain may not connect immediately.
If your domain was registered through Cloudflare, you cannot connect it directly to Icemail, as Cloudflare does not allow changing NS records for domains they manage.
To use your domain with Icemail:
Transfer your domain to a registrar that supports NS changes (e.g., GoDaddy or Namecheap).
Once transferred, proceed with the connection process in Icemail.
After updating the NS records, return to the Icemail dashboard and click âRecheck.â Our system will automatically verify that the correct NS records have been applied.
Once verification is successful, click âContinueâ to complete the setup. Your domain is now connected to Icemail and ready for mailbox creation.

This means your domain is currently active in another Icemail workspace or is associated with existing mailboxes elsewhere.
Solution:
Contact your registrar and delete any active mailboxes.
Ensure the domain is not in use in another platform or Icemail workspace.
Reach out to team@icemail.ai for help in clearing workspace conflicts.
The system canât detect the correct NS records.
Solution:
Double-check that you've updated the exact NS records provided in the Icemail dashboard.
Use https://whatsmydns.net to verify global propagation.
Allow up to 48 hours for changes to fully propagate.
Your domain may already be linked to an existing Icemail account.
Solution:
Check your Icemail domain list to avoid duplication.
If needed, email team@icemail.ai to help investigate ownership.
Once your domain is connected, you're ready to create mailboxes:
Navigate to the Mailboxes section.
Click âAdd Mailboxesâ â âBuy New Mailboxes.â
Choose the quantity of mailboxes you need.
Click âProceed to Buy.â
